Our client, a well respected education provider and research University are seeking a Health and Safety and Office Space Coordinator to start immediately.

  • Pay: £21.05/hr

  • Part-time: 21hr/ 3 days a week

  • Role dates: ASAP-November

Role purpose:

H&S and Space Coordinator will be responsible for a range of duties in support of the effective operations of the client's Nursing, Midwifery & Palliative Care team. This will include the lead responsibility for advising on and overseeing health and safety management within the Faculty, office space management and coordination of all estates and facilities aspects. The post holder will be the first point of contact for all new starters and leavers.

The post holder will further ensure the continuous appropriateness of the H&S management structure, effective management of risk, incidents investigation and office space utilisation. The H&S and Space coordination will work in close collaboration with a wide range of stakeholders at the Faculty and the university levels.

The post holder will ensure that:

This role will involve close collaboration with the clients central H&S Office to ensure that strategic level decisions are effectively embedded within the Faculty whilst senior members of the Faculty's staff with a responsibility for H&S within their departments and teams are advised of:
  • health and safety requirements and actions arising from the Faculty's activities including statutory legislation, university policies and codes

  • the need for specific procedures and standards for health and safety

  • the suitability of risk assessments and safe working practices for the Faculty activities

  • incidents, accidents and near misses arising from the Faculty's activities

  • non-compliance with health and safety requirements and, defects and deficiencies in Faculty local arrangements

  • H&S training needs are met for the Faculty and respective departmental staff and students. This includes ensuring that the Faculty has got relevant number of fully trained First Aiders, Fire Marshals and Display Screen Assessment (DSE) experts at all times.

  • Risk assessments for teaching, research and other Faculty's activities and codes of practice and SOP are up to date and relevant

  • Workspace inspections are carried and that reports and recommendations are forwarded to relevant stakeholders.

  • Procedures are in place for accident, incident and near miss reporting and investigation.

The post holder will further hold a lead responsibility for all matters related to facilities and estates.

This includes management of projects and forging/ maintaining sustainable relationships with the university's central Estates Department. The successful candidate will:

Manage the Faculty's space and be the first point of contact for new starters and leavers. This will further include maintaining up-to-date Faculty's plans, keeping a register of staff and offices allocated to them, management of office space usage (especially during COVID-19).

Undertake regular audits of the quality of facilities and estates related services received by the Faculty and report on it at relevant committee meetings (e.g. Building User Group meetings).

Represent Faculty's needs in respect of facilities and estates by advocating those at relevant committee and board meetings and by liaising with the client's central Estates department.

Undertake relevant process and system audits with the view to implement improvements and efficiency's in the office space, facilities and estates remit, in line with the university's policies where applicable.

Perform basic financial responsibilities such as processing of purchase requisitions, expense claim forms and invoices. This will require working with financial and accounting databases such as KCEP (purchasing system), Aptos/EAS (accounting system) as well as liaison with the client's finance departments and keep data bases updated
